Wellness Plan Terms & Conditions

These Terms & Conditions govern your enrollment in MyPeterinarian's Wellness Plans. Please read carefully before subscribing.

1. Definitions

"Plan" refers to any MyPeterinarian Wellness Plan (Essential, Advanced, or Professional). "Member" means the pet owner who enrolls in a Plan. "Pet" means the animal covered under the Plan. "Anniversary Date" is the date 12 months after enrollment. "Value Reconciliation Fee" is the fee charged upon early cancellation after the cooling-off period.

2. Enrollment & Eligibility

Enrollment is open to all pet owners in Copenhagen and surrounding areas. Each pet requires an individual Plan matched to their weight category. Pets must be at least 8 weeks old to enroll. Pre-existing conditions may be excluded for the first 90 days. We reserve the right to decline enrollment for pets with chronic conditions requiring intensive ongoing care.

3. Plan Duration & Commitment

All Wellness Plans run for 12 consecutive months from your enrollment date. This annual commitment ensures your pet receives comprehensive preventive care throughout the year. Plans automatically renew unless you provide 30 days' written notice before your Anniversary Date. The 12-month commitment helps us provide consistent, high-quality care while keeping costs affordable.

4. 14-Day Cooling-Off Period

You may cancel within 14 days of enrollment with a full refund, provided no services have been used. To exercise this right, contact us in writing before the 14-day period expires. If any services have been used during the cooling-off period, you will be charged the retail value of those services, and the balance will be refunded.

5. Payment Terms

You may pay monthly or annually. Annual payment receives a 5% discount. Monthly payments are charged automatically on the same day each month. Annual payments are charged on your enrollment date and Anniversary Date. Failed payments may result in plan suspension after 7 days. A 100 DKK late fee applies to payments more than 15 days overdue. All fees are in Danish Kroner (DKK) and include applicable VAT.

6. Cancellation Policy

You may cancel at any time by providing 30 days' written notice. Cancellations after the 14-day cooling-off period are subject to a Value Reconciliation Fee (see Section 7). Your Plan remains active during the 30-day notice period. We send renewal reminders 30 days before your Anniversary Date. If you do not respond, your Plan will automatically renew for another 12 months. Cancellation must be requested in writing via email to hello@mypeterinarian.com or through your online account.

7. Value Reconciliation Fee

If you cancel after the 14-day cooling-off period, a Value Reconciliation Fee applies to ensure fairness to all members. This fee is calculated as the LESSER of: (A) Your remaining monthly fees for the rest of the 12-month term, OR (B) The retail value of benefits you've used minus fees you've already paid. Example: If you've paid 3 months (1,197 DKK total for Essential Plan) and used 2 health checks (retail value 1,600 DKK), you would pay the lesser of: (A) 9 remaining months × 399 DKK = 3,591 DKK, or (B) 1,600 DKK - 1,197 DKK = 403 DKK. In this case, you'd pay 403 DKK. This policy prevents system abuse while treating members fairly.

8. Special Circumstances

Pet Passing: If your pet passes away, we offer immediate cancellation with no Value Reconciliation Fee and a pro-rata refund of unused months. We understand this is a difficult time and want to support you with compassion. Tier Upgrades: You may upgrade to a higher tier at any time. The upgrade takes effect immediately with a pro-rated fee adjustment for the remainder of your 12-month term. Tier Downgrades: Downgrades are not permitted during your current 12-month term but will take effect upon renewal. Relocation: If you relocate outside our service area (Copenhagen and surrounding areas), you may cancel with no Value Reconciliation Fee upon providing proof of relocation.

9. Renewal Process

We send renewal reminders 30 days before your Anniversary Date via email. If you take no action, your Plan automatically renews for another 12 months at the current published rates. To prevent renewal, you must provide written notice at least 30 days before your Anniversary Date. Plan rates may be adjusted at renewal with 60 days' advance notice. Current members always receive priority pricing and will never pay more than new enrollees.

10. Plan Benefits

Each Plan includes specified services as outlined in the plan comparison table on our website. Benefits must be used within your 12-month term and do not roll over. Services must be scheduled in advance and are subject to clinic availability. Unused benefits expire at the end of your 12-month term. We recommend using all included services for optimal pet health and value. Additional services not included in your Plan are available at discounted rates (10-30% depending on your tier).

11. Exclusions

Wellness Plans do NOT cover: Emergency care outside regular clinic hours; Specialist referrals; Surgery or hospitalization; Diagnostic imaging (X-rays, ultrasounds, MRIs); Chronic disease management requiring ongoing prescriptions; Behavioral consultations; Breeding services; Pre-existing conditions (first 90 days); Experimental or elective treatments. These services are available at standard retail rates with member discounts (10-30% depending on tier). Wellness Plans are preventive care packages, not pet insurance.

12. Changes to Terms

We may update these Terms & Conditions with 60 days' written notice. Continued use of your Plan after the effective date constitutes acceptance of updated terms. Material changes affecting fees or benefits will be communicated via email and posted on our website. If you do not agree to updated terms, you may cancel without a Value Reconciliation Fee within 30 days of the notice.

13. Limitation of Liability

MyPeterinarian's liability is limited to the fees you have paid for your Plan. We are not responsible for indirect, incidental, or consequential damages. Our veterinarians exercise professional judgment in all medical decisions. Wellness Plans do not guarantee specific health outcomes. You are responsible for following veterinary recommendations and administering prescribed treatments. We maintain professional liability insurance as required by Danish law.

14. Dispute Resolution

We strive to resolve all concerns amicably. If you have a complaint, please contact us at hello@mypeterinarian.com. We will respond within 5 business days. If we cannot resolve your concern, you may file a complaint with the Danish Veterinary and Food Administration (Fødevarestyrelsen). For billing disputes, you may contact the Danish Consumer Ombudsman (Forbrugerombudsmanden). Legal disputes will be resolved through mediation before litigation.

15. Governing Law

These Terms & Conditions are governed by Danish law. Any legal proceedings must be brought in Copenhagen courts. Danish consumer protection laws apply. If you are a consumer, you retain the protection of mandatory provisions of consumer law in your country of residence. The Danish-language version of these terms prevails in case of translation discrepancies.
